ABOUT THE ROLE

The Office Manager / PA will be responsible for providing exceptional administrative and organizational support to the Country Manager and for completing general administrative functions associated to the day-to-day operation of our Sydney office.

This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy and attention to detail.

MAIN RESPONSIBILITIES

Maintain and manage diaries for the Country Manager.

Liase with a wide range of stakeholders to arrange and coordinate meetings, conference calls and other staff events such as birthdays, off-site events, end-of-year parties.

Manage incoming and outgoing communications such as answering phone, taking messages, greeting visitors setting them up for meetings

Serve as primary contact for facilities & property management, logistics matters and external IT providers.

Provide comprehensive administrative support, including managing documentation and filing systems and office supplies.

Assist in financial administration tasks such as expense management claims and reports and corporate credit card reconciliations

Organize domestic and international travel arrangements, including flights, accommodation, transportation and visa requirements.

Management of corporate registers and lodgments

Support Health & Safety requirements including completing and maintaining documentation relating to risk assessments and incident/hazard investigations as required in consultation with the Corporate Health & Safety Advisor.

Support inductions for new starters in coordination with the Head Quarter in China.

Management of office related functions keeping the office running smoothly.

QUALIFICATION AND EXPERTISE

Minimum 5 years experience in similar roles as an Administration / Office Manager

Intermediate (to advance) Microsoft Office and Excel skills.

Outstanding communication skills (written and verbal)

Highly motivated person

Excellent time management skills

Ability to multi-task and manage various project elements simultaneously.
